Section 400 Procedures
Section 403 - Compensatory Bank Liquidation Procedures
The Payroll Specialist will provide employees via e-mail with the payroll period when the compensatory bank balances will be liquidated. This payroll period identified will be near the end of fiscal year. All approvals for extensions to bank liquidations must be received by the Payroll Specialist prior to the end of the identified payroll period for an employee to maintain their compensatory bank balance.
Section 406 - Emergency and Weather-Related Leaves and Pay Procedure
- When classes are canceled, but the College is not closed, individual faculty shall take personal leave or make appropriate curricular adjustments, e.g. scheduling make-up classes, meetings, office hours, or other compensatory activities, as approved by administration and allowed by bargaining unit contracts.
- When employees cannot get to work, or must leave work early, due to inclement weather, emergency/personal leave or vacation leave may be granted. An Employee Leave Request form should be completed. At the discretion of the supervisor, the employee may be permitted to make up the time.
- Employee uniform time reports should indicate the number of emergency hours utilized in the remarks section of their uniform time report.
- Employees who reported to work and were sent home will not be paid for more than their regularly scheduled hours.
- Employees who were required by their appointing authorities to remain at work will not be paid for more than their regular scheduled hours or the actual number of hours worked inclusive of any overtime.
- Employees on approved sick or pre-arranged vacation/leave will not have such leave time restored to their leave balances.
- Employees on any approved leave without pay shall not be paid for this emergency leave time.
- Employees who called in, on the day of an emergency, for vacation time, compensatory time or leave without pay will be credited with emergency leave from the point of the declaration of the emergency to the end of the scheduled shift, if the appointing authority ceased operations during their regular shift.
- An employee’s absence with pay for emergency situations shall not exceed 16 hours during that emergency unless the President has authorized a longer period.
Section 408 - Release of Employee Information Procedures
Information pertaining to hiring, individual employee events and separation may be released following the provisions of the Minnesota Government Data Practices Act and after consultation with the human resources department. Information regarding current and former employees may be released by a supervisor or human resources staff member.
Private information about current or past employees may be shared with faculty and staff after receiving permission from the employee and in consultation with a supervisor or human resources staff.
Employees desiring to release information about themselves may do so by forwarding the information to their supervisor or human resources staff for approval and for distribution to the internal college community.
